AI in Survey Automator

Research Automators uses AI to support selected functions within the Survey Automator platform.

This document explains how AI is used in Survey Automator, what types of information may be processed by AI services, and how customer and respondent data is protected.

AI provider

Survey Automator uses OpenAI through its API for AI-based functionality.

Only information required to perform the relevant AI function is sent to OpenAI. Customer data is not used by Research Automators for purposes other than providing the service, unless otherwise agreed with the customer.

AI-assisted survey creation and editing

AI is used to assist with tasks related to creating, structuring, improving and translating surveys. This can include processing question texts, instructions, answer alternatives and other survey content.

These functions process the survey content itself. Respondent data and survey responses are not sent to OpenAI when AI functions for survey creation and editing are used.

AI-assisted reporting and analysis

AI can also be used to analyse survey results and generate text for reports.

If AI-based reporting functionality is included in a report template, the relevant data is automatically processed by OpenAI when the report is generated. It is up to the customer to decide whether this functionality should be used or not.

Survey Automator currently supports two main types of AI-assisted analysis:

Analysis of aggregated data
Aggregated survey results can be sent to OpenAI to generate analyses, summaries and report text.

Analysis of open-ended responses
The text of open-ended survey responses can be sent to OpenAI for analysis or summarisation. Respondent information such as names, email addresses or other data stored separately and marked as Protected is not included.

Protection of personal data

Survey Automator includes specific functionality for identifying and protecting personal data.

When respondent information is imported into the platform, free-text background fields such as names and email addresses are marked as Protected by default. Customers can also mark additional background variables and survey questions as Protected.

Protected data cannot be used in reports and is excluded from AI-based processing. It is therefore not sent to OpenAI.

Customers are responsible for ensuring that personal data is correctly identified and marked as Protected. Research Automators provides functionality and guidance to assist customers in managing personal data appropriately within the platform.

Data storage and AI processing

The Survey Automator platform and customer data stored within the platform are hosted in Swedish data centers.

When AI functionality is used, the information required for the relevant AI operation is transmitted to OpenAI through its API for processing. This does not change where the customer’s project data is stored within Survey Automator.

Data marked as Protected is excluded from this processing and is not sent to OpenAI.

Use of data for AI model training

Research Automators uses OpenAI’s API for AI functionality and does not permit customer data to be used by Research Automators for training AI models. Data sent to OpenAI is retained for 30 days before deletion.

Human oversight

AI-generated content may contain errors or require interpretation. AI functionality in Survey Automator is intended to assist users rather than replace professional judgement.

Customers remain responsible for reviewing AI-generated analyses, translations, summaries and other output before using them in surveys, reports or other deliverables.

Data protection and security

The use of AI within Survey Automator is governed by the same principles for confidentiality, information security and data protection that apply to the rest of the service.
