Automated survey reminders only earn their name if they know who to skip. A reminder that goes out to someone who already finished the survey isn’t automation, it’s just annoying. Here’s how automated survey reminders actually work in Survey Automator: what gets excluded automatically, how to schedule a reminder, and how to keep the sends themselves from tanking your deliverability.
The Basic Rule: One Send Per Person
In Survey Automator, sending from Distribute → Show Messages normally only reaches participants who haven’t already received that specific send. Run the same batch again later, and only new participants get included, so the same message never lands in someone’s inbox twice by accident.
Setting Up an Automated Survey Reminder
To turn an existing send into a reminder, click the three dots on it and choose Duplicate as reminder. Or, to convert one directly, change its type to Reminder under Type: Invitation.
Once it’s set, a bell icon marks it clearly as a reminder rather than a first invitation.
This is the part that matters most for automated survey reminders specifically: a reminder only ever goes to participants who haven’t finished the survey yet. Anyone marked Completed is automatically excluded, every time it runs.
Scheduling Automated Survey Reminders
Click SCHEDULE at the bottom of the send to set timing. You can choose:
● One time — sends once, on a specific date and time
● Weekly — repeats on that interval until you change or stop it
● Monthly — same, on a monthly cycle
Every time a scheduled reminder runs, it re-checks who currently qualifies. Completed participants stay excluded at each run, not just the first one.
Why This Matters for Rolling Projects
This re-check on every run is what makes automated survey reminders useful for rolling or continuous projects in Survey Automator, where new participants get added over time. Each scheduled run picks up anyone added since the last one, without re-sending to people who already responded or already got the reminder.
We go deeper on how continuous distribution works more broadly in our post on automated survey distribution.
Keeping Sends Safe: Rate Limiting
The same Schedule panel includes Max messages / hour. This controls how fast a send goes out.
Sending too fast can hurt your domain’s reputation and increase the risk of spam classification, bounces, and delivery problems, a pattern well documented in Mailchimp’s guide to email deliverability. Survey Automator’s default limit is 12 sends per hour, and it’s worth keeping it there unless you have a specific reason to raise it.
FAQ
Do automated survey reminders in Survey Automator resend to people who already completed the survey?
No. Reminders only go to participants who haven’t finished the survey, checked automatically every time the reminder runs.
Can I resend a message to someone who already got it?
Only manually, by selecting that specific participant under Distribute → Participants and including them. It’s not something the system does automatically, and it’s best kept for rare cases rather than routine follow-up.
How do I turn a message into a reminder?
Click the three dots on an existing send and choose Duplicate as reminder, or change the message type to Reminder directly. A bell icon marks it once it’s set.
Can I schedule a reminder to repeat automatically?
Yes. Choose Weekly or Monthly under Schedule, and it will keep running on that interval until you change or stop it.
Will scheduled reminders pick up new participants added later?
Yes. Each scheduled run rechecks the participant list, so newly added people can be included at the next run.
